2. Our Role
HouzzatPRO may handle personal information in different capacities depending on the circumstances.
HouzzatPRO determines the purposes for which certain information is collected, including information relating to prospective Customers, demo requests, Commercial Offers, subscriptions, billing contacts, Customer administrators, platform users, support inquiries, security, legal acceptance records, and operation and improvement of HouzzatPRO.
Customers may use HouzzatPRO to manage information about their own prospects, leads, clients and business activities. In those circumstances, the Customer generally determines the business purpose for which the information is entered into and used through the Platform, while HouzzatPRO processes the information to provide the Platform and related services.
This distinction does not eliminate any legal responsibility HouzzatPRO may independently have under applicable privacy law.
3. Information We Collect
Depending on how a person interacts with HouzzatPRO, we may collect contact and identity information, sales and demo information, account information, commercial and subscription information, electronic acceptance records, payment-related information supplied by processors, platform usage and technical information, and support information.
We do not need to store users' plain-text passwords. Password credentials should be protected using appropriate technical mechanisms.
Where payment information is entered directly into a payment provider's secure environment, HouzzatPRO does not need to receive or store complete payment-card numbers.
4. Customer CRM Data
Customers may use HouzzatPRO to process information relating to leads, prospects, clients, property interests, saved properties, viewing activities, appointments, tasks, communications, notes, property inquiries and other Customer business records ("Customer Data").
HouzzatPRO processes Customer Data to provide and support the Platform and does not treat a Customer's private CRM information as another Customer's business data.
Customers are responsible for ensuring they have appropriate authority, notices and consents for personal information they place into HouzzatPRO.
5. How We Use Personal Information
Depending on the circumstances, HouzzatPRO may use personal information to respond to demo requests and sales inquiries, communicate with prospective Customers, prepare and present Commercial Offers, establish and administer subscriptions, authenticate users, provide Platform functionality, provision and manage Customer workspaces, manage authorized users and permissions, process and administer payments, provide support, deliver requested communications and notifications, maintain security, prevent fraud and abuse, investigate technical problems, maintain audit and transaction records, improve Platform reliability and performance, understand aggregate Platform usage, comply with legal obligations, enforce agreements, and protect HouzzatPRO, Customers, users and third parties.
6. Customer Data and HouzzatPRO Platform Administration
HouzzatPRO may need limited access to Customer environments for legitimate purposes such as providing requested technical support, maintaining infrastructure, protecting Platform security, investigating abuse or security incidents, restoring or maintaining services, or complying with law.
HouzzatPRO's platform-level administrative and analytical systems may use aggregated operational information to understand matters such as subscription usage, seat consumption, platform adoption, feature usage, response-time trends and overall Platform performance.
HouzzatPRO does not intend its platform-level commercial administration to provide routine access to the private contents of Customer CRM leads, private notes or communications merely for sales or business analytics purposes.
7. Consent and Other Permitted Processing
Where consent is required, HouzzatPRO seeks to obtain consent appropriate to the nature, sensitivity and circumstances of the information and intended use.
Consent may be obtained electronically.
In some circumstances, applicable law may permit or require collection, use or disclosure without consent.
Individuals may withdraw consent where legally permitted, subject to reasonable notice and legal, contractual or technical limitations.
8. How We Share Personal Information
HouzzatPRO does not sell personal information to data brokers or advertisers.
We may disclose or transfer personal information to service providers where reasonably necessary to operate HouzzatPRO, including providers supporting cloud hosting, databases, authentication, payment processing, email delivery, SMS or telecommunications, security and anti-abuse services, mapping, property and listing data, analytics, technical monitoring, artificial intelligence functionality, and customer support.
Providers should receive only the information reasonably required for the applicable service and be subject to appropriate contractual or other safeguards.
9. Legal and Business Disclosures
We may disclose information where reasonably necessary to comply with applicable law, respond to lawful requests from authorities, investigate fraud, abuse or security incidents, protect rights, safety or property, establish, exercise or defend legal claims, or enforce agreements.
If HouzzatPRO is involved in a merger, acquisition, financing, corporate reorganization, sale of business or similar transaction, information may be transferred as part of that transaction, subject to applicable legal requirements and appropriate protections.
10. International and Cross-Border Processing
HouzzatPRO may use service providers or infrastructure located outside Ontario or outside Canada.
As a result, personal information may be processed or stored in another province, country or jurisdiction and may be subject to lawful access by courts, law-enforcement authorities or national-security authorities in that jurisdiction.

HouzzatPRO uses administrative, organizational and technical safeguards designed to protect personal information against unauthorized access, disclosure, loss, misuse, copying, modification or destruction.
Safeguards may include access controls, authentication, role-based authorization, encryption or secure transport, password protection, tenant/workspace isolation, logging and security monitoring, restricted administrative access, backups, security testing, and employee or contractor confidentiality controls.
No internet-connected service can guarantee absolute security.
12. Security Incidents and Privacy Breaches

13. Retention
HouzzatPRO retains personal information only for as long as reasonably necessary for the purposes for which it was collected, subject to applicable legal, contractual, security and legitimate business requirements.
When information is no longer reasonably required, HouzzatPRO will take appropriate steps to delete, destroy, anonymize or otherwise dispose of it, subject to applicable requirements and technical limitations.
14. Cookies and Similar Technologies
HouzzatPRO websites and applications may use cookies, local storage and similar technologies where reasonably necessary for authentication, security, session management, preferences, Platform functionality, performance, and analytics.
15. Email and Communications
HouzzatPRO may send transactional or service-related communications concerning demo requests, Commercial Offers, subscriptions, account activity, security, support, billing, Platform changes, and other service matters.
Marketing communications will be handled in accordance with applicable requirements.
Unsubscribing from marketing communications does not necessarily prevent transactional, security or account-related messages necessary to provide the service.
16. Artificial Intelligence
Certain HouzzatPRO functionality may use artificial intelligence or automated technologies.
We will not represent private Customer CRM information as generally available training data merely because it is processed through the Platform.
If HouzzatPRO later materially changes how Customer Data is used for AI model training or development, the applicable notices, agreements and consent requirements should be reviewed before such use begins.
17. Aggregated and De-Identified Information
HouzzatPRO may generate aggregated or de-identified information for Platform analytics, reliability, capacity planning, security, product development, business intelligence, and benchmarking.
Aggregate platform analytics should not expose one Customer's private CRM records to another Customer.
18. Children's Privacy
HouzzatPRO is a professional real estate business platform and is not designed or intended as a service directed to children.
19. Access and Correction
Subject to applicable law, individuals may request information about personal information HouzzatPRO holds about them and may request access to or correction of that information.
Before responding to a request, HouzzatPRO may take reasonable steps to verify the requester's identity and authority.
For Customer-controlled CRM information, HouzzatPRO may direct an individual to the applicable Customer where that Customer is responsible for the relevant information and request.
20. Deletion Requests
Individuals may request deletion of personal information where applicable.
Deletion requests may be subject to information HouzzatPRO must or is permitted to retain for legitimate purposes such as legal compliance, financial records, transaction evidence, fraud prevention, security, dispute resolution, or contractual obligations.
